Why are we looking for new Board members?

Eastern Little League must maintain a strong Board of Directors. We are looking for Board Members that are interested in making decisions that further the Mission of the Eastern League and for Board Members whose primary objective is for the positive benefit of the Eastern Little League organization as a whole.

Each year, new members are needed to replace the “aging out” Board Members (who take years of experience with them). We have an ongoing need to recruit new Board members, particularly from the Tee Ball and Minor B levels, as parents from these divisions will be the future Leaders of the  Eastern Little League.

Maintaining an adequate number of active Board members will allow each Board Member to fulfill 100% of their assigned duties and responsibilities. Doing so will prevent mistakes, problems and issues that to correct, drain energy, time and resources from our mission of supplying our youth with a quality Little League experience.

What will be your responsibility as a ELL Board Member ?

1. To advance the above stated mission of the Eastern Little League.

2. As a representative of the ELL, be cognizant of how your actions and discussions with parents, players, umpires, coaches, other Little league representatives and the general public reflects upon the image of Eastern Little League.

3. If you choose to volunteer for any of the below positions, perform the duties of that position (time varies).

4. Attend approximately 10- 12 Board Meetings per year (1 to 2 hours each).

General Notes

  • All Board members in our League are Volunteers.   We are always looking for new Board Members who want to make decisions that are in the best interest of the ELL.    
  • No Experience Needed. Technical knowledge of baseball is not necessary to join the Board. There are many Board positions that utilize other skills.
Please do not join if your reason(s) for joining the board are to :

 
1.  Gain voting privileges only (and not help run the league or maintain the premises).  
2.  Use your Board position to improperly influence any league process that benefit only your team or only your child.  

Board Members Positions 

President - 

  • Oversees the affairs of all elements of the League.
  • The president should be the most informed officer of the league.
  • Each president must know the regulations under which Little League operates and in authorizing the annual application for charter, binds all members of the league to faithfully observe the regulations.
  • As chief administrator, selects and appoints all managers, coaches, umpires and committees (subject to the approval of the Board).
  • Represents the League in the District organization. This includes attendance at all district Meetings, etc.
  • Presides at all League meetings, and assumes full responsibility for the operation of the League.
  • Receives all mail, supplies and other communications from the Little League International, and the District.
  • Oversees all Post-season tournaments hosted by ELL, both sanctioned and non-sanctioned
  • Oversee and coordinate all scheduling with other board members, including but not limited to yearly calendar, opening day, scheduling of fields for all non-Little League uses.
  • Oversee and coordinate with the League Information Officer all League Publicity campaigns, including but not limited to announcements, registration, clinics, seminars, articles, etc.
  • Oversee all long-term development and planning.
  • Conduct new director meeting and field director walk through at the fields before the season starts.

Vice President - 

  • Presides in the absence of the President and carries out such duties and assignments as may be delegated by the President.
  • Works with other officers and committee members, is ex-officio member of all committees
  • A vice president may manage, coach or umpire, provided they do not serve on the protest committee.
  • Coordinates with directors in preparing and proposing a list of all divisional Managers for Board approval and President's selection.
  • Oversees all Manager/Coach activities.
  • Coordinates with and assists the Player Agent and Division Directors in conducting all drafts and/or selection of all teams.
  • Coordinates with the Safety Officer and Field Manager in making sure that all safety issues are addressed.
  • Coordinates with the Safety Officer and the Player Agent to insure that all managers, coaches and players at all levels are receiving proper instruction.
  • Assists the President in overseeing all Post-season tournaments hosted by ELL, both sanctioned and non-sanctioned.

Secretary - 

  • Maintains a register of members and directors.
  • Records the minutes of meetings, prepare in written format, and distribute via email.
  • Provide copies of meeting minutes for each board meeting.
  • Provide attendance roster for each board meeting.
  • Maintain files of all board minutes, attendance rosters, meeting agenda’s, activities
  • Responsible for sending out notice of meetings (coordinates with President).

Treasurer - 

  • Signs checks as directed by league constitution.
  • Dispenses League funds as approved by Board of Directors.
  • Reports on status of League funds.
  • Keeps League books and financial records.
  • Assumes responsibility for all League finances.
  • Works with tax advisor to prepare and submit league tax returns.
  • Prepares budgets (and coordinates with each budget discipline regarding use of budgets).

Player Agent - 

  • Separate player agents may also be selected to oversee individual divisions within the league
  • Responsible for player selection (conducts all drafts, coordinates scheduling of drafts with Managers).
  • Responsible for checking birth records and eligibility of all players.
  • Supervises and coordinates the transfer of players between divisions, either up or down in age.
  • Assume responsibility of prime coordinator of all player affairs, including but not limited to: sponsorship/player issues, financial or other family issues (including all issues of a delicate nature that need not be made public), etc.
  • Coordinate with the Safety Officer on all background checks of all volunteers to meet Little League guidelines, and keeping a log of all volunteers approved.
  • The player agent must not manage, coach or umpire in the division over which he/she has authority, unless the local league has received explicit written permission to allow this from Little League International.

Safety Officer -

  • Coordinates all safety activities including supervision of ASAP (A Safety Awareness Plan).
  • Ensures safe playing conditions.
  • Coordinates reporting and prevention of injuries.
  • Solicits suggestions for making conditions safer.
  • Reports suggestions to Little League Headquarters through the ASAP program.
  • Responsible for conducting all background checks of all volunteers to meet Little League guidelines and keeping a log of all volunteers approved.
  • Obtain, update and maintain First Aid Kits throughout the Park.

Information Officer - 

  • Manages the Leagues official home page at www.easternll.com
  • Ensures that League news and scores are updated on a regular basis.
  • Works with Registration Director to maintain an accurate online membership database.
  • Creates division schedules with input from Division Directors and uploads to website. 
  • Create custom online forms for use as needed.
  • Manage and maintain ELL Online Store, including ordering of items.
  • Collects, posts, and distributes important information on League activities to Little League Baseball, district, public, league members and media, including monthly email newsletter.

Registration Manager - 

  • Responsible for setup of player database for current year.
  • Manages the online registration process (coordinating, updating and maintaining on-line registration).
  • Prepare forms and handouts for registration (registration forms, volunteer signup forms, contact list of directors, baseball, coaches and umpire clinics).
  • Contacts all scholarship players regarding work details.
  • Responsible for creating team rosters (coordinate with Player Agent, VP, and Division Director) after drafts and submitting to directors.
  • Responsible for providing Uniform Manager with uniform report listing for each team.
  • Ensures that league rosters are maintained on the Little League data center (coordinating, updating and maintaining League Rosters, submitting all League Rosters to Little League International).

Coach Coordinator -

  • Represents coaches/managers in league.
  • Responsible for overseeing all programs and development opportunities relating to managers, coaches and players.
  • Presents coach/manager training budget to the board.
  • Gains the support and funds necessary to implement a league-wide training program
  • Coordinates with the Player Agents to schedule, conduct and monitor all clinics, seminars, or other development affairs.
  • Responsible for monitoring and evaluating the development and progress of all managers and coaches in the League (coordinated with VP Softball/Baseball and Division Directors). Diligently works to continually teach managers and coaches correct basic player skills, as well as managerial skills.
  • Institutes and updates all printed development vehicles, such as manuals, flyers, internet correspondence, etc. Responsible for making information available to all managers, coaches and players as appropriate.
  • Helps implement www.LittleLeagueCoach.org as the manager-coach education program for the league

Concessions Manager - Can be more than 1 person

  • Maintains the operation of concession facilities
  • Organizes the purchase of concession products
  • Responsible for the management of the concession sales at league events
  • Schedules volunteers to work the concession booth during league events
  • Collects and reviews concession related offers including coupons, discounts and bulk-purchasing opportunities
  • Organizes, tallies and keeps records of concession sales and purchases

Sponsorship  - Can be more than 1 person

  • Solicits and secures local sponsorships to support league operations
  • Collects and reviews sponsorship opportunities
  • Maintains records of monies secured through sponsorship initiatives
  • Orders and maintains sponsor banners
  • Orders and delivers sponsor plaques
  • Make sure correct sponsorship signs are placed on buildings, scoreboards, etc in the park.
  • Coordinates with the Treasurer to make sure that all sponsorships are paid.

Fundraising Director - 

  • Collects and reviews fundraising opportunities
  • Organizes and implements approved league fundraising activities
  • Coordinates participation in fundraising activities
  • Maintains records of monies secured through fundraising initiatives
  • Coordinates with the Treasurer to make sure that all funds are secured.

Head Umpire/ Chief Umpire (UIC) - 

  • Responsible for the Hiring, Training, and scheduling of all umpires
  • Schedules, organizes and directs all training clinics, seminars, etc.
  • Schedules Umpires
  • Member of Protest Committee
  • Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid.

Fields & Facility Director - 

  • Responsible for the maintenance and upkeep of Eastern Little League fields and facilities, including the bleachers and scoreboards.
  • Schedule spring cleanup, fall cleanup and any other workdays that may be necessary.
  • Responsible for organizing and overseeing all work parties and Field and Facilities Committee.
  • Negotiates outsource maintenance agreements and contracts and coordinates with Treasurer to make sure contracts are kept up to date and all invoices paid.
  • Coordinates with the Safety Officer, Treasurer and Board of Directors to address all critical safety issues identified in the ASAP in a timely manner and in accordance with the Time Schedule/Plan issued by the Safety Officer.
  • Coordinates with the Board of Directors to address all maintenance issues identified by any member of either the Eastern Little League.
  • Create, update and maintain a complete inventory of all field equipment.

Committee & Volunteer Positions

Team Parent Coordinator - 

  • Recruit "Team Parents" for each regular season team  and post season Tournament Team.
  • Schedules and presents annual Team Parent Meeting 
  • Liaison between the teams and the Board of Directors
  • Disseminate information from the Board to the Team Parents; keeping them updated on all league events as well as Opening and Closing day schedules. 
  • Coordinates with outsource groups (either those under contract or those donating to the ELL)

Division Coordinators  - 

  • The Division Directors are responsible to run and organize their individual divisions (i.e. Jr., Major, Minor, etc.) within Eastern Little League (ELL). All Division Directors work in conjunction with the Vice President.
  • Coordinate with the Information Officer to create division schedules to get uploaded to website. 
  • Provide Division Rules prior to the start of the season to all managers and coaches
  • Confirm equipment and supplies needed for a safe and successful season.
  • Address any issues or complaints. Address with the ELL Board of Directors as needed.
  • Report any issues or concerns with the division to the Eastern LL Board of Directors

Equipment Manager - 

  • Responsible for the upkeep and maintenance of all player equipment.
  • Coordinates with the managers to receive all equipment bags back at the end of the season (or the end of all-star season or fall league).
  • Cleans equipment bags and equipment.
  • Maintains inventory of all equipment in each bag to ensure that all equipment is returned and that equipment which has exceeded its life expectancy is replaced.
  • Inspects all equipment, removed damaged, worn, or unsafe equipment, and replaces with new equipment.
  • Orders all new equipment.
  • Maintains inventory of reserve equipment.
  • Prepares all equipment bags for distribution each new season.
  • Make sure that all equipment bags are distributed to managers by/on draft day.

Apparel/ Uniform Coordinator - 

  •  Responsible for ordering and distributing all uniforms for players and managers, including the regular season, all-stars and other post-season teams.
  •  Coordinates with the sponsorship officer to ensure correct team colors and sponsorship logos are used, if applicable.
  •  Responsible for coordinating league apparel; including design, ordering and distributing
  •  Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid

Fall Ball Director - 

  • Oversees all operations of the Fall Ball program, including, recruiting managers and scheduling games.
  • Appoint volunteers to handle the registration process, scheduling of games, distribution of equipment and purchasing of uniforms.
  • After registration coordinate the distribution of players to teams.

Fields and Facilities Committee - 

  • Headed by the Fields and Facilities Manager
  • Responsible for the maintenance and upkeep of Eastern Little League fields and facilities, including the bleachers and scoreboards.
  • Create and assist with work schedule for regular field maintenance.
  • Assist with spring cleanup, fall cleanup and any other workdays that may be necessary.

Opening Day Committee - 

  • Responsible for coordinating, planning, and directing all of the opening day events.
  • Coordinates with outsource groups (either those under contract or those donating to the ELL).
  • Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid.
  • Schedules volunteers to work the event.

Pancake Breakfast Committee - 

  • Responsible for coordinating, planning, and directing of the pancake breakfast event.
  • Coordinates with outsource groups (either those under contract or those donating to the ELL).
  • Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid.
  • Schedules volunteers to work the pancake breakfast event. 

Home Run Derby Committee - 

  • Responsible for coordinating, planning, and directing of the home run derby event.
  • Responsible for coordinating, planning, and directing all team pictures.
  • Coordinates with outsource groups (either those under contract or those donating to the ELL).
  • Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid.
  • Schedules volunteers to work the home run derby event. 

Closing Ceremony/ Celebration Committee 

  • Responsible for coordinating, planning, and directing of the closing ceremony event.
  • Coordinates with outsource groups (either those under contract or those donating to the ELL).
  • Coordinates with the Treasurer to ensure that all contracts kept up to date and all invoices paid.
  • Schedules volunteers to work the event.
  • Order end of season awards (volunteer award, home run pins, Abercrombie award, etc)

 

Sponsorship Director - can be more than 1 person

  • Solicits and secures local sponsorships to support league operations
  • Collects and reviews sponsorship opportunities
  • Maintains records of monies secured through sponsorship initiatives
  • Orders and maintains sponsor banners
  • Orders and delivers sponsor plaques
  • Make sure correct sponsorship signs are placed on buildings, scoreboards, etc in the park.
  • Coordinates with the Treasurer to make sure that all sponsorships are paid.
